We Process your Personal Data in order to fulfil obligation rising from law and/or use your Personal Data for options provided by law. We save your billing information and other information gathered about you for as long as needed for accounting purposes or other obligations deriving from law, but not longer than 4 years.

Who we may share your information with

The Underfloor Heating Company will pass on your personal data to the following third parties for the following purpose(s) as part of the processing activities:

  • service providers who help us to provide our Services, payment processing, advertising, the prevention, detection, mitigation, and investigation of potentially illegal acts, violations of our user agreement, fraud and/or security breaches, bill collection and other business operations.
  • our shipping providers with whom we share your delivery address, contact information and shipping tracking information to assist with the delivery of items purchased and delivery related communications.
  • website providers, applications, services and tools that we cooperate with so that they can publish or advertise your listings and their content on their websites or in their applications, services and tools. Third party providers are not permitted to sell, lease or in any other way transfer the personal information included in your listings to third parties.

Retention period

The Underfloor Heating Company will retain your personal information for as long as necessary to provide the Services you have requested or for other essential purposes such as complying with our legal obligations, resolving disputes, and enforcing our policies.

  • Right to judicial review: in the event that Organisation Name refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined in clause 3.6 below.

All of the above requests will be forwarded on should there be a third party involved (as stated in 3.4 above) in the processing of your personal data.

Complaints

In the event that you wish to make a complaint about how your personal data is being processed by The Underfloor Heating Company (or third parties as described in 3.4 above), or how your complaint has been handled, you have the right to lodge a complaint directly with the supervisory authority and The Underfloor Heating Company’s data protection representatives by emailing dpo@theunderfloorheatingcompany.co.uk.

Personal data

Under the EU’s General Data Protection Regulation (GDPR) personal data is defined as:
“any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.

Why does The Underfloor Heating Company need to collect and store personal data?

In order for us to provide you with our service we need to collect personal data for correspondence purposes and/or detailed service provision. In any event, we are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy.

In terms of being contacted for marketing purposes The Underfloor Heating Company would contact you for additional consent.

Will The Underfloor Heating Company share my personal data with anyone else?

We may pass your personal data on to third-party service providers contracted to The Underfloor Heating Company in the course of dealing with you. Any third parties that we may share your data with are obliged to keep your details securely, and to use them only to fulfil the service they provide you on our behalf. When they no longer need your data to fulfil this service, they will dispose of the details in line with The Underfloor Heating Company’s procedures. What forms of ID will I need to provide in order to access this?

The Underfloor Heating Company requires your current username and password used when you registered with our website and email address as an acceptable form of ID when information on your personal data is requested. If we suspect a personal data request is fraudulent we may ask for any or all of the following forms of ID:

  • Proof of previous orders
  • Order confirmation emails
  • Order invoices
  • Passport
  • Driving licence

How we secure your data

We do our best to keep your Personal Data safe.  We use safe protocols for communication and transferring data (such as HTTPS). We use anonymising and pseudonymising where suitable. We monitor our systems for possible vulnerabilities and attacks using firewalls, data encryption, bruteforce prevention, IP blacklisting, login Captcha and fraudulent login prevention.

Even though we try our best we can not guarantee the security of information. However, we promise to notify suitable authorities of data breaches. We will also notify you if there is a threat to your rights or interests. We will do everything we reasonably can to prevent security breaches and to assist authorities should any breaches occur.

We do not intend to collect or knowingly collect information from children. We do not target children with our services.
